SAM is a not-for-profit arts management service organization offering mentorship, management, administration, and other resources to artists and arts organizations in Nova Scotia at affordable, subsidized rates. We are seeking someone to join our team of dedicated part-time administrators in the role of Bookkeeper.


This role is responsible for bookkeeping tasks for several arts related not-for-profit clients. This includes but is not limited to: liaising with clients to develop reliable and mutually convenient methods of financial data exchange, general ledger entries, payroll, routine reporting, cheque preparation, and year-end reports.

The Bookkeeper also prepares a small activity summary as part of the staff report for the bi-monthly SAM Board of Directors meetings.


  • Complete bookkeeping as per the intent of each Client, according to the client’s completed Contract.
  • Assess the work provided/requested by the Client for priority, time required to complete, additional clarifications required and communicate with the Client re expectations for completing the work.
  • Prioritize cheque and invoice preparation.
  • Manage client milestones, e.g. fiscal year end, grant preparation, T4 season, etc. to accommodate extra workload in the bookkeeping calendar to meet those dates.
  • Based upon a Client’s bookkeeping activity, assess and suggest opportunities for their consideration for efficiencies provided by the software applications, e.g. payroll modules, tax forms, direct feeds such as PayPal.  Also suggest opportunities to reduce time and remove duplication, where they lend themselves to the particular Client, e.g. report-only logins for timely access to their data, creation of invoices directly in the software.
  • Check with the Executive Director if/when assistance is required.
  • Keep the Executive Director informed of evolutions in Client needs, accounting software, etc.
  • Log hours worked on each client’s bookkeeping and provide the completed log to the Executive Director at the end of each pay period.
  • Specific Bookkeeping duties include:
    • Entering bills, contractual payments into Accounts Payable
    • Posting credit card and/or debit card purchases and payments
    • Issuing cheques as requested by Client
    • Preparing and tracking payroll for employees/contractors (if necessary)
    • Posting to Accounts Receivable
    • Creating invoices
    • Posting income received by credit card
    • Posting bank deposits
    • Posting bank fees and interest receipts
    • Preparing and tracking CRA payroll remittance amounts
    • Preparing journal entries, as required, to make adjustments, corrections or address other unusual bookkeeping needs.
    • Reconciling bank accounts upon receipt of official bank statements
    • Providing Reports as required by the Client as generated by the accounting software, including, but not limited to:
      • Balance Sheet
      • Profit & Loss
      • Bank Reconciliation
      • Accounts Receivable Summary
      • Accounts Payable Summary
    • Reconciling the accounting software to the Client’s official fiscal year end statements through the entry of year-end adjusting journals and reconciliation to the year-end trial balance.


The ideal person for this job will be: flexible, a strong independent worker, able to manage multiple priorities, have good communication and relation-building skills, be detail oriented, computer literate, and have an understanding of bookkeeping and accounting terms and of activities in the performing arts. The candidate should also be familiar with accounting software such as QuickBooks and Sage 50 (Simply Accounting), particularly the online versions. We are prepared to do some training for this position.
